TL;DR

In travel, photos are the product. No one books a trip without seeing the destination first. Evaneos, a global travel company that creates tailor‑made trips with local experts, receives thousands of images from agencies, photographers and licensing platforms - and teams across marketing, acquisition, product, social and creative all need immediate, reliable access.

Here’s how they went from a cluttered drive to a single hub the whole company can use to find photos.

The challenge

Before Tagbox.io, managing thousands of photos across Google Drive was near impossible. Images came from everywhere - photographers, agencies, licensing platforms, and partners in the field - and they were organized inconsistently by different people, so no one really had the full picture.

For anyone outside the creative team, even simple requests were hard. A marketer preparing a summer campaign couldn’t just search for "sunny beach in Greece" or "family hiking in the Alps" - they had to dig through folders or wait days for the creative team to send options. The product team, working on destination pages, couldn’t quickly pull "blue‑tone photos of Iceland" or "winter atmosphere in Lapland" without help.

Managing photos in Google Drive also meant real risk. Thousands of assets from photographers, local agencies and licensing platforms mixed together with no reliable way to track usage or rights. With no system to record where images came from or how they could be used, the creative team had to manually review every request to avoid rights violations - slowing campaigns down and increasing the chance of mistakes.

"It’s a super tool for every creative team."

What changed with Tagbox.io

One hub from day one

When Evaneos moved to Tagbox.io, everything finally lived in one place. We migrated and organized their entire photo library within the first week. Almost overnight, the company went from scattered Google Drive folders to a single, structured hub that everyone could trust.

"Everybody can have access to pictures. Teams that don’t work in the creative department can be autonomous on the search, how to find pictures, and how to use them. It’s such a plus.", says Aaron Tcherniack, Creative Project Manager at Evaneos.

With one shared source of truth, creative no longer spends days sending images back and forth, and teams can instead find the best image for their needs. "The design of the platform is intuitive", Aaron says.

Rights and usage, finally clear

Instead of piecing together rights from filenames and scattered notes, Evaneos now has a consistent structure. Each asset clearly shows where it came from and how it can be used. No more guessing. No more bottlenecks.

The feedback from the Evaneos team is now directly shaping a new, date‑based rights system currently in development - one that will automatically surface expiring assets and keep usage safe without slowing anyone down. "Every time we have an issue, the Tagbox.io team help us so quickly. I’m really happy to work with you guys," Aaron adds.

Search that actually matches how they work

The Evaneos teams now find images the way they think about destinations: by location, season, color, or simply by typing what they need. Even without tags, AI can instantly surface results: "It’s a super tool for every creative team.", says Aaron. "Sometimes I want a picture with a boat and we didn’t create a boat tag, but I tap 'boat' and it just works."

The results

With everything in one organized hub, people across marketing, product, acquisition, social and creative now find the images they need in seconds instead of days. Creative still keeps full control over structure and rights, but no longer has to manually find assets for other teams. Campaigns move faster, designs improve, and the risk of misusing an asset is dramatically lower.
